*** Complete Art Inventory Form

Both can be accessed via the Artist Portal.

INFO

  • Four times a year, on scheduled dates, the majority of the art is removed from the gallery and new art is hung.

  • Artists are expected to bring in new art and remove existing art on each Art Exchange Day.

Upload All Art to Podio

  • All new art must be uploaded to Podio (pronounced like Edgar Allan “Poe dee oh”) by 9 am on the Saturday before each Art Exchange Day.

  • For your art to be placed on the website, you must upload it to Podio via the link in the Artist’s Portal. Since all art is sold from the website, art that is not on the website cannot be processed as a sale.

  • You must upload an unframed image of your artwork.

  • If your artwork is framed, also include a photo of the framed piece.

  • Images of your artwork must be cropped so that no white space or lines or other distractions are visible in the photo.

  • The images of your artwork must be of the highest quality dpi to avoid pixelation on the website. The images you upload to Podio are the images that will placed on the website.

  • It is advisable to also upload your artwork “in situ”. Various apps are available to easily do this. Between one and 3 “in situ” images are ideal. Some in situ apps include: Smartist, ArtRoom

Complete Artwork Inventory Form on Podio

An Artwork Inventory Form must be completed by each artist by 9 am on Art Exchange Days. (Find it in the Artist Portal on the website.) This form will advise Linda and the Display Committee:

  • Which artworks are leaving the gallery

  • New artworks to be hung and displayed and their dimensions

  • What artworks are to be removed from the website

Prepare Your Art for Art Exchange Day

  • All new pieces must be present in the gallery by 10 am on Art Exchange Day. You may bring in your new art as early as the Saturday before Art Exchange Day.

  • All pieces being removed from the gallery must be removed by noon on Art Exchange Day.

  • All art, including small pieces, must be ready to hang with D rings and good quality wire affixed in a professional manner on the back. See wiring instructions.

  • Please do not attach your business card or any other paperwork to the back of your piece. When an artwork sells, the label with all of that information will be affixed to the back of the piece for the collector to have.

Wiring Instructions

  • All paintings must be wired on the back regardless of size. Vinyl coated wire is preferred.

  • Either D rings or eye hooks are acceptable. D rings are preferred.

  • Sawtooth hooks are not acceptable. Allowing works to hang on the wood stretcher bars on a nail is not acceptable.

  • If using eye hooks, they must be placed inside the stretcher bars so that the piece will hang flat against the wall.

  • Proper placement of D rings or eye hooks is one third down from the top of the piece. The wire should be loose enough to hang on a nail spaced evenly between the top of the painting and the level of the D ring.

  • See photo below for proper wiring. The D rings should be placed one-third down from the top and the wire should be loose enough to hang on a hook approximately an inch below top stretcher bar.

Art Exchange Day Process

  • We remove all art from the walls.

  • A team of two artists fills the holes with spackle and paints the patches. Any other paint touch ups needed are done throughout the gallery. The paint cans are in the closet in the kitchen.

  • The Display Committee decides the placement of all artworks to be hung on display walls.

  • Three teams of two artists each hang the selected art on the various walls in the gallery as directed by the Display Committee. There is a kit box for each team containing all supplies needed for hanging including:

    • hammer

    • hooks and nails of various sizes

    • measuring tape

    • level

  • Two artists prepare, print and affix the labels beside the artworks.

  • NOTE: Anyone who is not on the Display Committee, or signed up on Sign Up Genius to work, and actively helping to hang the art or preparing labels should not be present as our space is small and the artists hanging the works need to be able to move around quickly.

Care in Removal of Artwork from Display Walls

  • When removing artwork from the walls and placing artwork on the floor against a wall, it is critically important to take the utmost care of each artwork.

  • When stacking pieces, always place artworks front to front or back to back. Never allow the wire or hooks on the back of a piece to come in contact with the front of another artwork.

  • When removing the label from the wall, never place a label on top of an artwork nor on the frame because the blue gum fixative on the back of the label will remove the paint. Instead, affix the label on the back side of the piece on a stretcher bar.

  • To remove labels from the walls, pull down on the label so as not to bend the label when removing it.

  • To remove the blue gum fixative from the walls, simply take a piece of the blue gum from the back of the label and roll it between your fingers to warm it and soften it. Then roll the gum ball on the remaining blue gum on the wall to remove it from the wall.

Refreshments

  • Lunch will be provided

  • You are welcome to bring your own lunch if desired.

  • Note: George’s Cafe is closed on Mondays. However, Panera is open.
